Create Inbound request

During warehouse management, users can create Inbound Requests to send instructions to the warehouse regarding inbound operations. Inbound requests help the warehouse team prepare in advance with space, manpower, and equipment to ensure accurate and efficient goods receipt.

Additionally, creating inbound requests in the system allows real-time tracking of the receiving process, quantity and quality control, and automatic inventory updates as soon as goods are received—improving operational efficiency and minimizing errors.

To access the Inbound Request screen, follow these steps:

To create inbound requests, users can start either from a Purchase Order (PO) or from "Create Inbound request" in the "Incoming" section.

Follow these steps to create an inbound request in the "Incoming" section:

Note: If no tracking number is entered in the Tracking field, the request sent to the warehouse will be marked as No tracking. The warehouse will rely on the Inbound Request label to process the goods. Any tracking number added or edited later will not be sent to the warehouse again.

Packaging Requirements

  • Each SKU must be individually packaged before being placed in a larger carton to avoid confusion during warehouse receipt.
  • Barcodes from the manufacturer can be pre-applied to reduce labeling costs at the US warehouse.

Labeling

  • After packaging, the sender must attach two labels on each package:
    1. Shipping Label – indicates sender and receiver details.
    2. Inbound Label – QR code or barcode for EFEX warehouse scanning upon receipt.

Creating Inbound Requests

  • Users must provide all shipment tracking numbers. Use the last mile tracking code (final delivery from port to warehouse). Enter tracking numbers for each individual package, not the consolidated shipment.
  • Users must declare the correct SKUs and quantities per package, not as a total sum.

📌 Important Notes:

  • Goods that do not meet packaging standards or are missing labels may be rejected or incur additional fees.
  • Goods not meeting packaging or labeling standards may be received into inventory within 4–5 days from arrival (excluding holidays, Saturdays, and Sundays).
  • Properly packaged goods will be processed and received into inventory within 48 hours (excluding holidays, Saturdays, and Sundays).
  • All inbound requests must be created at least 24 hours in advance to allow EFEX warehouse preparation.
  • If goods arrive at the warehouse without an inbound request, the packages will be classified as Unknown and may experience delayed receipt or risk of loss.
